Job Description:
• Follow and maintains knowledge of all school policies and procedures.
• Perform general office duties including answering multi-line phones, routing telephone calls or messages to appropriate staff, greeting the public, typing, proofreading, filing, sorting and handling incoming and outgoing mail, as needed.
• Research, create, input, format, organize and edit relevant data as needed or requested and prepare in a usable format for the school.
• Completes a high volume of computer work, using school computer and programs, to input a high volume of data with speed and accuracy, including confidential data, in an environment with constant interruptions.
• Processes and tracks employee timesheets and work with the personnel officer and the HRD for approval.
• Assists in preparing school materials (i.e., brochures, newsletters, learning materials etc.).
• Reconciles account balances and financial documentation (Request form, cash receipts, and approval) ensuring accuracy.
• Independently or in accordance with general instruction, composes correspondence on a wide range of subjects, requiring knowledge of procedures and policies of the assigned area.
• Serves as receptionist and gives information or directs visitors and parents to appropriate offices, as needed.
• Answers inquiries concerning standardized policies, procedures, and regulations.
• Coordinates scheduling of meetings, appointments and travel and assists with all other administrative needs.
• Schedules conferences, programs, events and teachers individual schedule as required including creating schedules, contacting all invited parties, preparing confirmation and distributing materials to teachers.
• Places orders for all classroom and office supplies, as needed or requested.
• Professionally represents the school and the District in interactions with parents, community, staff and students.
• Maintains appropriate certifications and training hours as required.
• Attends work regularly and is punctual.
• Supervise academic secretary
• Check and process the sick and annual leave
• Process and confirm teacher and staff probation with HR
• Monitor and report the monthly teacher tardiness
• Arrange and monitor with the personnel officer the teacher written test
• Help and arrange the teacher interview with the personnel officer.
• Work and check with the personnel officer the in and out process of the teachers
• Work with Personnel officer and Submit the monthly staff movement:
• Promotion
• Change position
• Change campus
• Change working hours
• Suspension, fire, lay off, ditch
• Write and keep Aii Academic Secretary history record (All Campuses)
• Update Academic and secretary staff details
• Ensure and evaluate all teaching materials and equipment are in good condition.
• Ensure and maintain the order of the academic office
• Maintain records and files especially teachers and other staff CVs
• Write and submit history of the academic events every month
• Process new teacher and academic staff the username, email and MJQ server etc.
• Other assigned tasks.
Job Requirements:
• A bachelor degree in Education/Administration or related fields
• Excellent problem solving skills, and able to use initiative
• Ability to patiently work with people from a variety of backgrounds, cultures, religious views
• Ability to calmly manage and prioritize multiple tasks
• An approachable and friendly spirit, easy to smile and a can-do attitude
• Excellent computer skills with the MS Office Suite and proficient with Social Media
• Ability to understand and keep within a budget
• Excellent communication skills, both verbal and written in English
• Strong administrative and organizational skills.
