Job Description:
1. Administrative & Executive Support
• Manage the VPO’s calendar, schedule meetings, and coordinate appointments.
• Prepare agendas, take minutes, and follow up on action items from meetings.
• Draft, review, and distribute correspondence, reports, and presentations.
• Maintain confidential records, files, and documents for the VPO’s office.
• Screen and prioritize emails, calls, and requests for the VPO’s attention.
2. Operational Coordination
• Assist in tracking campus-level operational issues and follow up on resolutions.
• Coordinate with campus directors, department heads, and other staff on operational matters.
• Monitor implementation of directives issued by the VPO to ensure timely execution.
• Support campus visits, inspections, and audits by preparing necessary documents and logistics.
3. Data & Reporting
• Gather, compile, and analyze operational data from various campuses.
• Assist in preparing monthly, quarterly, and annual reports for the VPO.
• Maintain records related to student enrollment, staff performance, and operational efficiency.
• Support the development of dashboards and tracking mechanisms for operational performance.
4. Project & Process Management
• Assist in planning and executing operational projects and initiatives.
• Monitor timelines and deliverables for key operational plans.
• Work closely with different departments to ensure alignment with operational objectives.
• Identify areas for process improvement and support implementation of best practices.
5. Communication & Stakeholder Engagement
• Serve as a point of contact between the VPO and internal/external stakeholders.
• Draft memos, announcements, and operational updates for distribution.
• Facilitate smooth coordination between departments to improve workflow efficiency.
• Ensure timely responses to requests, inquiries, and concerns related to operations.
6. Logistics & Event Support
• Organize logistics for operational meetings, training, and events.
• Coordinate travel and accommodation arrangements for the VPO when needed.
• Support campus directors and department heads in organizing operational activities.
Job Requirements:
• Bachelor’s degree in Business Administration, Education Management, Operations Management, or a related field.
• Minimum of 3-5 years of experience in administrative, operations, or executive support roles.
• Experience in an educational or multi-campus environment is an advantage.
• Strong organizational and multitasking skills.
• Excellent communication skills (written and verbal).
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
• Ability to analyze data and generate reports.
• High level of discretion and professionalism in handling confidential matters.
• Strong problem-solving skills and ability to work independently.
• Ability to work under pressure and meet deadlines.
